How to Create Accessible Documents in Microsoft Word

About this Event

Prerequisites: Basic Microsoft Word and computer skills

Length: 3.5 hours

24% of New Zealanders identify as having a disability. Some of those disabilities impact on the way that someone uses a computer and/or print documents that you output. With over 9% of our population estimated to be effected by this, you need to understand how to engage with this nearly 1 in 10 people that have an accessibility need.

This workshop will equip you with a core understanding of document accessibility, and provide you with practical experience in how to make your Microsoft Word documents accessible. We will cover recommended best practice for document accessibility, including:

  1. An undrestanding of accessibility needs (disabilities) and how they impact on a users ability to interact with information.
  2. The different technology and techniques people use to overcome their accessibility needs.
  3. Practical experience on how to use Microsoft Word to create the most accessible documents possible, including:
  • Fonts - the impacts of font size, style and spacing.
  • Hyperlinks - best practices to ensure that hyperlinks present meaningful information to screen reader users
  • Colour contrast - the impacts of colour choice and the standards to follow
  • Plain English - how to ensure that you write for the full audience, and some tools to help you out.
  • Images and Alternative Text - how to ensure that your images add value and ensure the document remains usable for those who can't see the images.
  • Scanned documents - the impacts of scanned documents on users.
  • Layout - how to layout your documents accessibly.
  • Tables - keeping them simple and usable by everyone.
  • Headings and styles - how to use headings to make the document easily navgable but to also help with ensuring your document looks professional.
  • Tools that can help you out.

You will also learn how to use Microsoft Word to create accessible PDF documents.

Target audience: This course is for all users who want to produce accessible documents. Only basic Microsoft Word and computer skills are required.

Equipment: All computer equipment is provided.

Delivered in a classroom environment by professionals from the disability sector, participants will be able to ask questions, participate in interactive exercises and explore how to confidently create accessible documents.
